This notice explains, under Article 13 of the EU General Data Protection Regulation (GDPR), how Hoplo S.r.l. processes the personal data of people who visit teriyaki.ai, join its waitlist, answer the interview with Teriyaki's AI, ask for a demo, ask to become partners or write to us.

1. Data controller

HOPLO S.r.l., Via Fontana 25, 20122 Milano (MI), Italy. VAT and tax code 08450220010. Email privacy@hoplo.com, PEC hoplo@legalmail.it.

2. What data we process

  • Browsing data. When you open a page, the server that hosts the site receives the technical data every browser sends: IP address, date and time, page requested, browser and operating system. We use them only to deliver the pages and to keep the site secure.
  • Waitlist. If you join the waitlist, we receive and keep what you enter in the form (first name, last name, work email, company, role if you give it, department, company size), the language of the page and the date and time of your request.
  • Interview with Teriyaki's AI. After joining the waitlist you can answer a short interview about your work. We keep the questions of the AI, your answers, the map of your work the AI draws from them (steps, tools, how often and how long, which steps software could do) and the date and time. Please do not write in your answers health data or other special categories of data, passwords, or personal data of customers and colleagues.
  • Demo request. If you press "Book a demo" or ask us to contact you at the end of the interview, we record the request with its date and time. The booking calendar opens on Cal.com: what you enter there (for example name, email and time) reaches us through Cal.com.
  • Partner request. If you ask to become a partner, we receive and keep what you enter in the form (first name, last name, work email, company, country, website if you give it, kind of business, message if you write one), the language of the page and the date and time of your request.
  • Data you send us by email. The newsletter box opens an email to info@hoplo.com in your own email program: if you send it, we receive your address and what you write.

3. Purposes and legal bases

  • Delivering the site and protecting it from abuse: our legitimate interest (Article 6(1)(f) GDPR).
  • Managing the waitlist: recording your request, confirming it to you by email, telling the Hoplo team and writing to you about access to Teriyaki: steps taken at your request before a contract (Article 6(1)(b)).
  • The interview, the demo request and the partner request: understanding your work to prepare the demo and the first software for your company, organising the demo and contacting you, and evaluating a partnership and answering you: steps taken at your request before a contract (Article 6(1)(b)).
  • Replying to your emails and, if you ask for it, preparing an offer or a contract: steps taken at your request before a contract (Article 6(1)(b)) and our legitimate interest in answering.
  • Sending you updates about Teriyaki, only if you ask for them through the newsletter box: your consent (Article 6(1)(a)), which you can withdraw at any time by writing to us.

Joining the waitlist, answering the interview, asking for a demo and writing to us are optional: you can skip the interview or end it whenever you want. Without your email address, though, we cannot reply or write to you about Teriyaki.

We make no decision about you based solely on automated processing, AI included (Article 22 GDPR): the map of the interview is read by a person of the Hoplo team and serves only to prepare the demo.

4. Cookies and similar technologies

The site uses no cookies, stores nothing in your browser and loads no analytics, advertising or third-party content: fonts, images and videos come from our own server. For this reason it shows no cookie banner.

The interview does not change this: the page talks only to our server, and it is our server that sends your answers to the AI model. The interview link carries a code in the part of the address after "#", which your browser does not send to any server.

Links to LinkedIn, hoplo.com and the Cal.com booking page take you to other sites, which have their own privacy notices.

5. Who processes the data and where

  • Authorised Hoplo staff, bound to confidentiality.
  • Hetzner Online GmbH, which provides the server that hosts the site and keeps the waitlist, in the European Union, as data processor.
  • Infomail, the email platform owned by Hoplo, which sends the waitlist confirmation and the notifications to the Hoplo team.
  • OpenRouter, Inc., which forwards the interview to the AI model, and OpenAI, which provides the model (today GPT-6.1 Sol): they process your answers only to generate the questions and the map of your work, as data processors (OpenAI as a sub-processor of OpenRouter). They may process them in the United States, with the safeguards of Chapter V of the GDPR, such as the Standard Contractual Clauses approved by the European Commission.
  • Cal.com, Inc., which provides the booking calendar of the demo, as data processor, for what you enter on its page.
  • Google, which provides Hoplo's email service, as data processor. Google may process data outside the European Economic Area, under the EU-U.S. Data Privacy Framework and the Standard Contractual Clauses approved by the European Commission.

We do not sell your data and do not share them with anyone for their own marketing.

6. How long we keep the data

  • Browsing data: only as long as needed to run the site and investigate security incidents, then deleted.
  • Waitlist, interview and demo request: until we give you access to Teriyaki or you ask to leave the list, and in any case no longer than 24 months from your request.
  • Partner request: as long as needed to evaluate the partnership and answer you, and in any case no longer than 24 months from your request if no partnership follows.
  • Emails: as long as needed to handle your request and any relationship that follows, and in any case no longer than the law requires.
  • Newsletter: until you withdraw your consent.

7. Your rights

You can ask for access to your data, their correction or erasure, the restriction of processing and data portability, and object to processing based on legitimate interest (Articles 15 to 22 GDPR). Where processing is based on consent, you can withdraw it at any time, without affecting what was done before.

Write to privacy@hoplo.com or to the PEC hoplo@legalmail.it, also to leave the waitlist or to have your interview deleted. If you believe your data are processed unlawfully, you can lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali, www.garanteprivacy.it).

8. Changes

If the way the site processes data changes, we update this page and the date at the top.
